Implementing a management system
Step 1 Define organizations goal
The first step is defining why are you pursuing development. Is it because you are trying to improve environmental performance? As the plan progresses refer to the goals set to see if the current task going to help achieve the goal. (ISO 14001,2015)
Step 2 Secure top management commitment
This is a critical step where you explain the benefits of the plan and what needs to be put in place to achieve to do this to do this explain the strengths and limits of your approach and how it can affect the company’s environmental and financial performance. Management have a role of making sure company goals are aligned with this plan. (ISO 14001,2015)
Step 3 Select an EMS Champion
The selection of the champion should be someone with ISO 9000 or/and ISO 14001 is a plus and should have time to commit to the process and have the managements support (ISO 14001,2015)
Step 4 build an implementation team
A team needs to be put together representing key management functions I.E engineering, finance, human resource, and service. You can also include contractors. These people can assess issues, opportunities and existing processes. This team should meet regularly and build commitment to ownership of the plan (ISO 14001,2015)
Step 5 Hold a kick off meeting
This is to discuss the objectives the initial steps needed to be taken and the roles people will be taken. This is also when the management can describe its commitment and provide any training needed for team members. This should be followed by communication to all employees (ISO 14001,2015)
Step 6 Preliminary review
This is to review the current compliance and compare these against criteria for your EMS (ISO 14001) Considering using Iso 14001 self-assessment tool is advised. (ISO 14001,2015)
Step 7 Preparing the Budget and schedule
Based on the results of the review a project plan and budget are put in place. The plan should include what key actions are needed who is responsible and what resources are needed to get it completed. The plan should be flexible with some stretch goals. It is also important to think how will project focus will remain over time and look for early successes that can help build momentum and reinforce the project. (ISO 14001,2015)
Step 8 Secure Resources, Assistance
The plan should be reviewed by top management and in some cases, there may be some outside funding and other types of assistance that is available (I.E trade associate, state technical assistance) (ISO 14001,2015)
Step 9 Involve employees
Ownership of the EMS will be greatly helped by using the involvement of meaningful employee contribution. Employees are a great resource on knowledge of the workplace. The employees can help in drafting procedures. (ISO 14001,2015)
Step 10: Monitor and communicate progress
As EMS progresses be sure to regularly monitor against the goals and project plan. Communication should be brought to the whole organization. Communicate accomplishments that have happened and what will happen next. Be sure to keep top management informed and engaged additional resources may be needed. (ISO 14001,2015)
